Hi Reader,

A client session was cancelled last minute, so you've blocked time for intentional follow-up - the kind you keep meaning to do but rarely get to. You open your inbox, scan a few names, and realize you can't remember where half of them stand. Did you have a consult with that one, or just a coffee chat? What was their budget? Did you send a proposal and never hear back, or did you both just get busy and let it go quiet? The information exists somewhere across your inbox, your LinkedIn DMs, your notes app, and your memory, but reconstructing it takes longer than the outreach itself.

So you close the tab and tell yourself you'll do it later.

That's not a character flaw. It's what happens when a business grows faster than the systems behind it. You add contacts, collect business cards, have good conversations, and before long the only place any of it lives is your inbox - and your memory.

Joseph Cope, The Empathy Guy - national keynote speaker, workshop facilitator, and soon-to-be published author - described it this way: "The CRM was my email outbox. And how many emails I would send that day depended on my level of energy and how far I wanted to go back."

Scattered. Unmanageable. Overwhelming.

He knew it. He just didn't yet have a foundation to build from.

Note: Joseph Cope, The Empathy Guy, not only said yes to being named here - he said "go full boar, let the world know."

The project

Joseph came into 2026 with a clear intention: clarity over expansion. His book was in production, his speaking calendar was building, and he was bringing on a VA named Renee. What he needed wasn't more hustle. He needed a place to put it all.

We built him a done-for-you Copper CRM* implementation - fully configured, automated, and loaded with his first round of warm contacts before he ever logged in. Calendly event booking types mapped and connected. Tagging framework designed for simplicity so it wouldn't become another system he'd abandon. Documentation and video walkthroughs so Renee could take over without a lengthy handoff.

The goal wasn't complexity. It was a foundation solid enough that someone else could build on it.

What changed

Four months later, Joseph described the biggest shift as intentionality - a word I keep coming back to.

"Rather than just swirl-shotting and hoping that my priorities land, they're at the top of that list. I can sort by six-month follow-up, by high-ticket potential, by relationship building. You can set your priorities with intention."

At least two speaking engagements (booked for 2027 and 2028) closed because reminders surfaced them at the right moment. Renee has since taken Copper to a level neither of us anticipated, including attending Copper education on her own initiative. The system is now supporting both the book launch and newsletter restart. And Joseph's Mailchimp contacts have been consolidated into Copper as the central ecosystem for everything.

"My zone of incompetence is filled by your zone of genius. And when you say things like, 'oh, that's easy' - I'm like, oh. Thank you."

Is your relationship tracking system actually working?

If you're using a CRM, the question isn't whether you have one. It's whether it's doing what it's supposed to do.

Take a few minutes with these questions:

  1. If a warm lead from six months ago resurfaced today, how quickly could you recall the context of your last conversation?

  2. Do you know, right now, which five relationships in your pipeline most deserve your attention this week - and why?

  3. If you handed your contact list to a VA tomorrow, could they pick up where you left off without a two-hour briefing?

  4. When a new contact books a call with you, do they automatically enter your system - or does that depend on whether you remember to add them?

If any of these stopped you, that's useful information. Not every answer needs to be a Copper implementation. But every answer deserves an honest look.

If you've been meaning to sort this out and haven't gotten there yet, a Coffee Chat is the easiest first step. We can look at what you have, what you actually need, and whether this is even the right project for right now.
